The spreadsheet problem
A rota in a spreadsheet is rebuilt from scratch every week, because the pattern lives in the head of whoever builds it. Applied as a pattern instead, next week starts as this week and only the exceptions need attention — which is where the time actually goes: the cover, the swap, the sickness.
Cover is part of the rota
Bank staff and cover shifts sit on the same rota as permanent staff rather than in a separate list, so the question "who is actually on shift on Saturday night" has one answer rather than two that have to be reconciled.
Shifts and the rest of the week together
A rota that ignores the review on Tuesday and the contact session on Thursday is a rota that will be changed on Monday. Both sit on the same calendar, filterable by home or by type, and an event links through to the young person it concerns.
Who can change it
Rota editing is permission-gated. Team leaders and managers change what they are responsible for; nobody else moves a shift by accident.
