DBS and training dates that chase themselves
Every date that has to be in-date, held against the person it belongs to, so a lapse is something you are warned about rather than something you discover.
What you get
- Qualifications, DBS checks and training expiry tracked per person
- Role-based access from Support Worker up to Super Admin
- Staff profiles linked directly to rota and home assignments
- Renewal dates surfaced before they lapse, not after
Powered by Staff — set out in full on the specification.
The spreadsheet that works until it doesn't
Training matrices in a spreadsheet work perfectly while someone maintains them. They fail the month that person is on leave, and the failure is invisible until an inspector asks for evidence that a member of staff was qualified to do what they did. Held against the staff record, the date is maintained where it is used.
Permissions that match the structure
Roles run from Support Worker to Super Admin, and access to homes and records follows from them. That is the mechanism behind the privacy claim on the rest of the platform: it is not that sensitive records are hidden by convention, it is that a support worker's role does not reach them.
Joined to the rota
Staff records link through to rota and home assignments, so the person, the shifts they work and the homes they work in are one record rather than three lists that drift apart.
Where the line is. CareOptix tracks the dates you enter. It does not carry out DBS checks, book training, or verify a certificate is genuine — it tells you when one is close to expiring.
Questions about staff compliance and training
Does it store the certificates themselves?
Records and supporting documents are held against the staff member, in secure cloud storage included in the licence.
What happens when a member of staff leaves?
Their record stays for as long as your retention policy requires — CareOptix does not delete records automatically — while their access ends with their account.
